05 · Google Workspace
Your IT department, minus the IT department.
We set up, migrate and look after Google Workspace for small businesses, so email, files and accounts just work and someone answers when they don’t.
Google Workspace gives a business professional email in Gmail, shared calendars, Google Drive, Docs, Sheets and Meet under one login. It’s excellent value, but setting it up properly involves more than signing up. Your domain needs the right DNS records, existing email has to be moved across without losing anything, and somebody has to decide who can see which files.
Most small businesses don’t have an IT person, so this lands on the owner, or on whoever is “good with computers”. We take it off their plate. We set up the account, connect your domain, create users and groups, and configure security, then migrate your old email, contacts and calendars from wherever they live now: Microsoft 365, GoDaddy, an old hosting company, or personal Gmail accounts.
Migrations are planned so mail keeps flowing throughout. We copy existing mail across, switch delivery at a quiet moment, then run a final sync so nothing that arrived during the changeover is left behind. Your team logs in on Monday to the same email, just in a better place.
After setup we can stay on as your Workspace administrator: adding and removing staff, resetting passwords, managing shared drives, keeping security settings sensible and helping when something goes wrong. It’s the kind of work that only takes a few minutes when the person doing it knows the system, and wastes an afternoon when they don’t.
What’s included
Setup, migration and admin
- 01
Workspace setup
Account creation, domain verification, DNS records, users, billing and sensible default settings from day one.
- 02
Email migration
Mail, contacts and calendars moved from Microsoft 365, GoDaddy, IMAP hosts or personal accounts, planned so existing mail comes across with you.
- 03
Users and groups
Accounts for each person, plus group addresses like info@ and sales@ that deliver to the right people.
- 04
Shared drives and permissions
Shared drives organized by team or client, with access set so files belong to the business, not to whoever created them.
- 05
Security and 2-Step Verification
Enforced 2-Step Verification, password rules, recovery options and alerts for suspicious sign-ins.
- 06
Email authentication
SPF, DKIM and DMARC set up so your email is trusted by other mail servers and harder to impersonate.
- 07
Onboarding and offboarding
New starters set up properly, and departing staff removed with their email and files kept for the business.
- 08
Ongoing administration
A named person to call for password resets, new accounts, settings changes and “why isn’t this working?” moments.
Checklist
Our migration checklist
The steps that make the difference between a quiet Monday and a week of missing email.
Inventory every mailbox
Users, shared inboxes, aliases and forwarding rules, so nothing gets forgotten.
Lower DNS TTLs in advance
So the switch to Google takes effect quickly when we make it.
Verify the domain
Prove to Google you own the domain before any mail moves.
Copy existing mail first
Historic email, contacts and calendars migrated while the old system still runs.
Switch MX records
Point incoming mail at Google at an agreed, quiet moment.
Run a final sync
Catch anything that landed in the old system during the changeover.
Set up SPF, DKIM and DMARC
So outgoing mail from Google is trusted and doesn’t land in spam.
Enforce 2-Step Verification
Protect every account from the start.
Reconnect devices
Help everyone sign in on phones, laptops and email apps.
Keep the old account briefly
Don’t cancel the old service until everything is confirmed.
Why it matters
What you stop worrying about
- Nothing lost in the move
- Careful, staged migrations mean old email arrives intact and new email keeps flowing during the switch.
- Files that belong to the business
- Shared drives keep company documents in company hands, even when someone leaves.
- Fewer security headaches
- Enforced 2-Step Verification and sensible settings protect against the most common account takeovers.
- Someone to call
- Instead of an IT department, you have a direct line to the person who set it all up.
How it works
Moving to Workspace without disruption
Step 1: Review
We look at your current email, domain, DNS, users and files, and plan the setup and migration.
Step 2: Set up
Workspace is created, the domain verified, users and groups configured and security settings applied.
Step 3: Migrate
Existing mail, contacts and calendars are copied across while your old system keeps working.
Step 4: Switch over
Mail delivery is moved to Google at a quiet time, followed by a final sync and checks on every account.
Step 5: Support
Help getting everyone set up on phones and computers, then ongoing administration if you want it.
FAQ
Google Workspace: common questions
Will we lose any email during the migration?
Not if it’s done carefully. We copy your existing mail across before switching anything, then move delivery to Google and run a final sync to pick up anything that arrived during the changeover. We also keep the old service active until every account is checked.
Can you move us from Microsoft 365 or GoDaddy email?
Yes. We migrate from Microsoft 365, GoDaddy and other hosted email, from IMAP mailboxes at web hosts, and from personal Gmail accounts that have been doing business duty. Email, contacts and calendars can all come across.
Do we need to buy Workspace through you?
No. Your Workspace subscription is billed by Google to your own account, so you stay in control of it. We set it up and administer it on your behalf, and you keep full ownership.
What’s 2-Step Verification, and do we really need it?
It means signing in needs your password plus a second check, usually a prompt on your phone. Even if a password is stolen, nobody can get into the account without that second step. It’s one of the most effective security measures available, and we recommend enforcing it for everyone.
What happens to someone’s email when they leave?
Their mail and files can be transferred to another person or kept in an archive, and their address can be pointed at a colleague so customer emails still get answered. We handle this as part of administration, so nothing important disappears when a staff member does.
